The Role As a Global External Funding Operations Specialist, you will play a key role in ensuring the smooth functioning and optimisation of a large pharmaceutical business. Your responsibilities will encompass a range of business-critical tasks, to facilitate the external funding team in the reduction of risk through the management of operational systems, tools and processes.

What you will be doing :

  • Organize the allocation of requests to appropriate reviewers and business units.
  • Offer guidance to ensure the acquisition of necessary approvals and their proper retention.
  • Conduct initial assessments to ensure compliance, verifying that AZ avoids engagement with any individuals or entities barred, excluded, or restricted from business dealings.
  • Ensure prompt generation and receipt of executed Letters of Agreements (LOAs) and contracts.
  • Manage requests from providers for alterations to LOAs/contracts.
  • Oversee the collection of essential data elements to meet physician payment reporting mandates such as Open Payments, EFPIA, and other regional requirements.
  • Guarantee the accurate and punctual distribution of payments, collaborating closely with the Accounts Payable department to resolve any payment-related issues.
  • Monitor and assist in the day-to-day processing tasks, including handling issues, facilitating communications, and resolving disputes.
  • Work collaboratively with internal stakeholders to identify and mitigate compliance risks associated with assigned duties, maintaining thorough documentation within the appropriate system.

As an Administrative Specialist, you will be instrumental in ensuring the smooth operation of our organization's administrative functions, supporting various departments, and facilitating effective communication across teams. You will excel in a dynamic environment, managing multiple priorities with precision and professionalism.

Minimum Requirement :

  • Bachelor's degree in a relevant field.
  • Strong technical/systems experience and skills (e.g., SAP, Excel, SharePoint, etc.).
  • Ability to work independently and manage tasks efficiently.
  • Excellent written and verbal communication skills.
  • Experience working in a similar role, providing administrative support in a professional setting.

Preferred Background :

  • Prior experience in the biopharmaceutical industry or consulting firm working with pharmaceutical clients.
  • Familiarity with compliance, legislation, data sources/quality, and reporting requirements.
  • Understanding of SAP and purchase-to-pay systems/processes, particularly in Procurement.
  • Experience in finance, auditing, quality assurance/control, SOX, and/or risk management.
  • Global/cross-cultural experience, with the ability to thrive in diverse working environments.
